Keep parts in stock in warehouses and vans
Set up warehouses and vans, keep MetriSales products as stocked parts, receive, transfer and adjust stock, reserve parts for work orders and follow every movement.
For: Dispatchers, stores and administratorsSteps
- Open MetriField → Parts inventory → Set-up. Select New location to add a warehouse, or a van and the technician it belongs to (one active van per technician).
- Under Parts select Add part, find a MetriSales product by name or SKU and select Add. A part keeps the product's SKU, price, price lists and SST; add new products in MetriSales first.
- Select Receive to book parts in at a warehouse or van, Transfer to move available parts between locations (for example the morning load from the warehouse to a van), or Adjust to correct stock with a reason. For a stock count, type the quantity you counted.
- On the Stock tab each part shows on hand, reserved and available per location. Select the Reorder at value to set a reorder level: when available stock falls to it, the people who manage inventory and the van's technician are notified once.
- On a work order, pick stocked parts in the parts list (SKU · name). Select Reserve parts and choose a warehouse or van: what is available there is held for the job, and anything missing is listed.
- When the technician records a stocked part as used in the app, it comes off the reservation first, then off their van. Lowering the number puts the parts back. Completing, cancelling or deleting the work order releases what is still reserved.
- The Movements tab is the full ledger, newest first: every receipt, transfer, adjustment, reservation, release and use, with who did it, the work order and the balance afterwards. Filter it by location, part or movement.
Good to know
- Past movements are never edited or deleted: a mistake is corrected with a new adjustment.
- Stock never goes below zero unless you switch on Allow negative stock under Set-up.
- Parts typed in as free text stay non-stock items: they are recorded on the job but never touch inventory.
- Technicians see only their own van. An outside ERP can follow every stock change through webhooks (stock events) and read stock through the API or the MCP server.
