Check in, record the job and get the customer's signature
Check in and out, work through the checklist, add photos, parts and notes, have the customer sign and send the job report.
For: Technicians and dispatchersSteps
- When you arrive, select Check in. A dispatched job starts (In progress). If you switched on Record my approximate location in My day, your phone shares one rough location (about 100 m) for this tap only; otherwise no location is stored.
- Tick the checklist items as you go. Required items must be ticked before you can complete the job.
- Under Photos select Take or add a photo. Photos are made smaller on your phone before they are sent (this also removes the photo's own location data); you can add a caption.
- Under Parts used, enter how many of each listed part you used and select Save, or add a part that was not on the list. Stock is not deducted yet.
- Add notes about the work. Notes stay on the work order's timeline and are never sent to the AI.
- When the work is done, select Complete job and describe the work done — it appears on the job report. Then ask the customer to type or draw their signature, tick the confirmation and select Save signature.
- Completing the job creates the job report PDF (customer, site, asset, visit times, checklist, parts, photos and signature). Download it, create it again in English, Malay or Chinese, or email it to the customer. Select Check out when you leave.
Good to know
- Everything here also works offline and is sent when you are back online; creating and emailing the report needs a connection.
- Dispatchers see visits, photos, the signature, parts used, notes and the report on the work order page.
- Emailing the report needs a working mailbox in Settings → Mailboxes.
- Check-in locations are removed after 90 days; the times stay.
