Visual workflows

Branches, parallel steps, approvals, waits and loops on a canvas — tested before they go live.

For: Admins

Steps

  1. 1Go to Settings → Workflows and select New workflow (or open an automation in the designer from Settings → Automations).
  2. 2Select the trigger and choose what starts the workflow: an event such as Case created, a schedule, or Run now.
  3. 3Add steps with Add step: conditions (all or any, with groups), parallel splits and joins, waits, wait until a field matches, approvals, loops, record actions, messages, webhooks, Run AI and sub-flows. Each step is added after the one you selected.
  4. 4Connect steps by clicking a step's port (Yes, No, Approved, On error …) and then the next step — or pick the next step in the right-hand panel. Outline view lists every step for keyboard and phone use.
  5. 5Select Test run, pick a sample record and the approval answer: every step shows what it would do, and nothing is sent or changed.
  6. 6Select Publish. New runs use the new version; runs already waiting finish on the version they started with. Open the Runs tab to see each run step by step, and cancel one if needed.

Good to know

  • A workflow has up to 60 steps; loops repeat at most 100 times and sub-flows nest 3 deep.
  • Add an On error path to a step to handle failures (for example a webhook that does not answer) instead of stopping the run.
  • Restore any earlier version from the Versions tab, then publish it to roll back.
  • When a workflow opened from an automation is first published, that automation is switched off so it does not run twice.
