Renewals and the renewal agent
Get a renewal deal before every contract ends, see which renewals are at risk, and let the renewal agent draft the brief and quotation for your approval.
For: Account managers, sales reps and sales managersSteps
- In Settings → Sales → Renewals, choose how many days before a contract ends its renewal deal opens (90 by default) and whether it goes to the account owner or through the routing engine and your territories.
- Every day, each active contract that ends within that window gets one renewal deal in the Renewals pipeline — one per contract term, however often the job runs. The deal links to the contract, and the contract page links back to it.
- Open Sales → Renewals. Renewals are grouped into 61–90 days, 31–60 days, the next 30 days and overdue, with each customer's annual value, open cases, case allowance used, payment status and the reasons a renewal is at risk. Select My renewals to see only yours.
- On a card, select Renewal brief, then Draft renewal brief. The renewal agent summarises usage, open cases and risks, suggests talking points and drafts a renewal quotation: the contract lines at their contracted prices plus up to three upsell suggestions at your price-list prices.
- Review the draft. Discounts or price changes the agent suggests are listed under Needs a person and are never applied. A sales manager selects Approve and create draft quotation, or Reject.
- Open the draft quotation, adjust it and send it as usual. When the customer accepts, create the contract from the quotation: it is recorded as the renewal of the old contract and starts the day after the old term ends.
Good to know
- Install the Renewal Agent from Agents → New agent or the App Marketplace to give it your own instructions; its kill switch stops it at once.
- The account's health score appears on cards once customer health scoring is available.
