Manage consent and privacy notices
Publish your privacy notice in BM, EN and 中文 with versions, record consent on forms, chat and the portal, and make sure broadcasts honour every opt-out.
For: Administrators and marketing teamsSteps
- Open Settings → Privacy (PDPA). Enter your data protection officer’s name, email and phone and choose whether they are shown in the customer portal and notices.
- Choose which marketing opt-in boxes to offer (email, WhatsApp, SMS) and whether email broadcasts go only to people who opted in.
- Open Privacy (PDPA) → Notices. Your workspace starts with a privacy notice and two breach notification templates in Bahasa Melayu, English and 中文, marked for counsel review. Edit the text in each language and save a draft — it becomes the next version.
- When your counsel has reviewed it, tick Counsel reviewed and select Publish. The previous version is archived; nothing that was recorded against it changes.
- Web forms, the chat widget and the portal sign-in now show a line linking to the published notice, and every submission records which version the person saw, plus any marketing boxes they ticked.
- On a contact’s page, the Privacy panel shows their choice per channel. Record an opt-in given by phone, or withdraw consent — email, WhatsApp and SMS broadcasts stop for them straight away, even ones already scheduled.
- Customers can change their own choices on the portal’s Privacy page, and replying STOP or unsubscribing from an email is recorded too.
Good to know
- The Cross-border transfers tab lists where data goes (your database is in Singapore; AI providers may be outside Malaysia) with the transfer basis — keep it up to date.
- The Retention tab shows what the nightly retention job removed and when, under Settings → Retention & trash.
