Get quotations and contracts signed online

Send a quotation or a contract PDF for e-signature: customers verify their email with a code, sign by typing or drawing, and everyone gets a tamper-evident signed PDF.

For: Sales teams and managers

Steps

  1. 1Make sure a sales mailbox is set up (Settings → Mailboxes): signing links, codes and the signed PDF are emailed from it.
  2. 2For a quotation: get it approved, open it and select Request signature in the Signatures panel. The quotation PDF is frozen as it is now. For a contract: open the account or deal, select Request signature and choose the contract PDF (up to 4 MB, not password-protected).
  3. 3Add the signers. Customers sign with their name and email; colleagues are picked from your workspace. Choose “In this order” (for example the customer first, then your director) or “Any order”, when the link expires and how often reminders go out, and add a message if you like. Select Send for signature.
  4. 4Each customer signer gets an email with a link. They open the document, ask for a 6-digit code by email, enter it, type or draw their signature, tick the consent box and select Sign & accept (Sign for a contract). Signing a quotation also accepts it, so the sales order follows as usual.
  5. 5When it is a colleague’s turn they get a notification. They open the request under Sales → Signatures and sign in the Your signature panel — their MetriCRM sign-in confirms who they are.
  6. 6Follow progress on the request’s page: each signer’s status, when they were asked, opened the document, verified their email and signed, and the full timeline. Use Remind signers, Resend link (for example to a corrected email address) or Void with a reason — everything is recorded in the audit log.
  7. 7When everyone has signed, MetriCRM stamps every page with the request reference, adds an audit certificate page (signers, email-code and signing times, IP address, browser, typed or drawn, and the document’s SHA-256) and emails the signed PDF to every signer. Download it from the request page at any time.

Good to know

  • Anyone can check a signed PDF at your workspace’s /verify page: the file’s fingerprint is calculated in their browser and compared with the copy MetriCRM sealed. A changed file no longer matches.
  • Revising a quotation voids its open signature request, so nobody signs an old version.
  • Codes expire after 10 minutes and work once; after 5 wrong tries a new code is needed. Links stop working when the request expires or is voided.
  • Sales reps can request signatures, remind and resend; voiding needs the Void permission (Settings → Roles → E-signatures).
